Module 1 — Calendar Management

Google Calendar · Calendly · Own your client's schedule

~45 min
▼
A founder's calendar is their business. As their EA you own it completely — protecting their time, eliminating scheduling chaos, and making sure they always know what's next.
📋 Google Calendar Playbook
1

Set Up & Explore

Go to calendar.google.com → sign in → explore Day, Week, Month views. Your client will always use the Week view. Practice switching until it feels natural.

2

Color-Coding System

Create 5 color categories for every client:

🔴 Red = Urgent / High Priority Meetings
🟣 Purple = Deep Work / Focus Blocks (protect these!)
🟢 Green = Personal appointments
🔵 Blue = Calls / External meetings
🟡 Yellow = Travel / In-transit time
3

Share Access (No Password Needed)

Client goes to Settings → Share with specific people → enters YOUR email → grants "Make changes" permission. You now manage their calendar from YOUR account. Zero passwords.

4

Create Weekly Focus Blocks

Every Monday add these recurring events:

Mon + Wed 9–11AM: "Deep Work — NO MEETINGS" (purple, recurring)
Friday 4–5PM: "Weekly Review" (blue, recurring)
5

Buffer Time Rule

Always add 15-minute buffers before AND after every meeting. Never schedule back-to-back. Your client needs time to prepare, think, and decompress. Protect this automatically.

6

Daily Morning Brief — Send Every Day at 8AM

Every morning, send your client a quick summary of their day.

📋 Daily Brief Template
Good morning [Name]! ☀️ Here's your day: 📅 Today — [Day, Date] 🔵 10:00AM — Discovery Call with [Name] (Zoom: [link]) 🔵 2:00PM — Team Sync (Meet: [link]) 🟣 4:00–5:00PM — Focus Block (protected) 📌 Action needed from you: → Please approve invoice from [Company] (flagged in inbox) 📥 Inbox: 3 flagged · 14 handled · nothing urgent. Have a great day! DM me if anything changes 💜
📋 Calendly Playbook
1

Set Up & Connect

calendly.com → sign up free → Connect Google Calendar → syncs availability automatically. No double-bookings possible.

2

Create 3 Event Types

15-min Quick Call — existing clients. Available Mon–Fri 2–4PM only.
30-min Discovery Call — new clients. Tue + Thu 10AM–12PM only.
60-min Strategy — paying clients. By request only.
3

Buffers + Reminders

15-min buffer before + after every event type
Max 3 meetings per day (prevents overload)
24-hour minimum scheduling notice
Auto email reminders: 24hrs before + 1hr before
💡 Content Hooks — Post These
"How I manage a CEO's entire calendar without ever touching their phone or knowing their password"
"Stop sending 10 emails to schedule 1 meeting. This free tool does it in one link."
📧

Module 2 — Email & Inbox Zero

Gmail mastery · Delegation · Inbox zero daily

~60 min
▼
The inbox is where founders lose the most time. Your job is to make it disappear. Gmail has everything you need — free, powerful, used by 90% of small businesses.
📋 Gmail Inbox Zero — 7 Steps
1

Gmail Delegation (Most Important)

Client: Settings → Accounts and Import → Grant access → Add YOUR email. You can now read + reply from their inbox without ever knowing their password.

2

6-Label System

🔴 ACTION REQUIRED — needs client's direct input
🟡 WAITING REPLY — you replied, waiting response
🟢 FYI ONLY — client should read, no action needed
📄 INVOICES — all billing emails
👤 VIP — key clients, investors, family
✅ HANDLED — dealt with, archived
3

Auto-Filters

Settings → Filters → Create new filter. Set up: newsletters auto-archive, receipts auto-label "Invoices", VIP contacts auto-star. The inbox manages itself.

4

5 Canned Response Templates

Settings → Advanced → Enable Templates. Create: Meeting request reply, Invoice acknowledgement, General inquiry, Follow-up nudge, Out of office.

5

Daily Triage Protocol

Step 1 (5 min): Scan all new emails → apply labels
Step 2 (10 min): Handle FYI + newsletters → archive
Step 3 (15 min): Reply using canned responses
Step 4 (5 min): Snooze ACTION REQUIRED items
Step 5 (2 min): Send daily summary to client
💡 Content Hooks
"I read my client's emails without knowing their password. Here's the Gmail feature that makes this possible."
"The 6 Gmail labels I set up for every EA client — steal this system for free."
📋

Module 3 — Task & Project Management

ClickUp · Notion · Keep everything on track

~50 min
▼
Your client has ideas, projects, and deadlines everywhere. Your job is to catch all of it and make it organized. ClickUp for tasks. Notion for knowledge. Together they cover everything.
📋 ClickUp EA Setup
1

Workspace Architecture

📥 EA Daily Operations — your recurring daily tasks
📁 Active Projects — everything in progress
📌 Delegation Inbox — tasks client hands to you
✅ Completed — archived work (proof of value)
2

Daily EA Checklist (Recurring)

☐ Inbox triage complete
☐ Calendar reviewed + brief sent
☐ Follow-ups sent
☐ Delegation board checked
☐ Client updated on anything urgent
3

Priority System

🔴 Urgent (today) — done before end of business day
🟡 High (this week) — important but not burning
🟢 Normal — when bandwidth allows
⚪ Low (someday) — not time-sensitive
📋 Notion Executive Hub
1

Create the Hub

New Notion page → "[Client] Executive Hub" → sections: 📌 Today's Priorities · 📝 Meeting Notes · 👥 Contacts · 📚 SOPs · 🔗 Important Links

2

Meeting Notes Database

Create a database: Date · Meeting Name · Attendees · Key Decisions · Action Items (owner + deadline) · Next Steps. Fill within 1 hour of every meeting.

🔐

Module 4 — Privacy & Password Management

⚠️ Most important module · Client trust starts here

~40 min
▼
This is what separates amateur VAs from elite EAs. Founders share their most sensitive business information with you. How you handle it determines your entire career.

🚫 Never Do

  • Ask for passwords in DM or chat
  • Screenshot client data
  • Access accounts without VPN
  • Share client access with others
  • Store passwords in spreadsheets
  • Discuss clients publicly online

✅ Always Do

  • Use Gmail delegation (no password)
  • Use Bitwarden shared vault
  • Sign NDA before starting
  • Use Proton VPN always
  • Enable 2FA on all accounts
  • Privacy clause in contract
📋 Password Management Playbook
1

Sign NDA First

Before touching any account — Google "free NDA template" → customize with HAEVENGATES branding → send via Google Docs or DocuSign → both sign → save the copy. Non-negotiable.

2

Set Up Bitwarden (Free)

bitwarden.com → create YOUR own account
Ask client to create theirs
Client creates Shared Collection → adds you as member
Client adds ONLY the passwords you need
You access via YOUR account — no master password sharing
3

Install Proton VPN (Free — Always On)

protonvpn.com → free account → download app → turn ON before opening any client account. Free plan: unlimited data. Non-negotiable habit.

4

Enable 2FA Everywhere

Google Authenticator → set up on every client account. Register both you and your client as 2FA holders so neither is locked out.

5

Offboarding Protocol

Client removes you from Bitwarden vault → access ends instantly
Client revokes Gmail delegation
Client removes you from Calendar + ClickUp
You confirm: "All access removed on my end too. 💜"
💡 Content Hooks — Your Most Viral Posts
"5 things your EA should NEVER do with your business accounts — share this with anyone you're about to hire"
"How to safely share passwords with your EA — without ever sending them in a message"
✈️

Module 5 — Travel Management

TripIt · Google Travel · Plan any trip in 30 minutes

~35 min
▼
Travel management sounds complex. It isn't. It's organized research + one tool that does most of the work automatically. Plan any trip in under 30 minutes.
📋 Travel Playbook — 6 Steps
1

Get the Travel Brief

📍 Destination · 📅 Dates · 💼 Purpose of trip
💰 Budget level · 🏨 Hotel preference
🤝 Any meetings already scheduled on arrival?
2

Research Flights — Present 3 Options

Google Flights → find 3 options (cheapest, fastest, best value) → present in a table: Price · Duration · Airline · Layovers · Departure time. Never book without approval.

3

Research Hotels — Present 3 Options

Google Travel → filter by location near meetings, 4+ star rating, business WiFi. Present 3 options with price/night, distance from meetings, one standout feature.

4

Client Approves → Book → TripIt

tripit.com → free account → connect to client email
Book flight + hotel → forward confirmations to [email protected]
TripIt builds full itinerary automatically in seconds
5

Enhance the Itinerary

Ground transport · Hotel WiFi password · Meeting addresses
Local emergency numbers · Weather · Currency rate
Dress code for events · Restaurant reservations
6

Send Pre-Trip Message — 48 Hours Before

WhatsApp or email with: flight details, hotel address, ground transport, key meetings, emergency numbers, TripIt link, and "Safe travels! Message me if anything changes 💜"

📱

Module 6 — Social Media for EAs

Canva · Scheduling · Managing a client's brand

~40 min
▼
This is your strongest module. You already know social media — now apply it professionally for clients. This is a premium skill most EAs don't have.
📋 Social Media EA System — 6 Steps
1

Brand Audit First

Document their brand in a 1-page Brand Sheet: colors + fonts, tone of voice, target audience, content pillars, competitors, past top-performing posts.

2

Monthly Content Calendar

5 posts/week = ~20/month. 3 content types: 2 Educational · 2 Brand/Story · 1 CTA. Present to client every Sunday for approval before posting.

3

AI Caption Writing Prompt

Use Claude or ChatGPT: "Write an Instagram caption for [client type] about [topic], tone: [tone], audience: [audience], CTA: [action], under 150 words, 15 relevant hashtags."

4

Batch Create in Canva

One template → duplicate 20 times → swap text → export all. 2 hours = entire month of visuals done.

5

Schedule via Meta Business Suite (Free)

business.facebook.com → connect IG + Facebook → upload + schedule all 20 posts in one Sunday session. Best times: 6–8AM and 7–9PM.

6

Monthly Report

Pull Instagram Insights → 1-page PDF in Canva: Followers gained, Reach, Top post, Engagement rate, What worked, Focus for next month. Send every month end.

💼

Module 7 — Land Your First Client

Where to find them · DM scripts · Discovery call · Close

~45 min
▼
Your first client will not come from a job board. They will come from a conversation. Here's exactly where to find them and what to say.
📍 Where to Find Clients
1

Your Existing Network (Fastest)

Message 20 people you know: "Hey! I'm now offering EA services for founders. Do you know anyone overwhelmed running their business who needs support?"

2

LinkedIn (Highest Quality)

Search "Founder / CEO / Solopreneur" → engage on their posts 3 days → then DM. Comment genuinely first — never cold pitch immediately.

3

Facebook Groups

Join entrepreneur groups → search "looking for VA" or "need an assistant" inside each group → reply directly to those posts. They're ready to hire NOW.

4

Your HAEVENGATES Instagram

Every post ends with "DM HIRE" — inbound leads come to you while you sleep. Builds slowly but these are the highest quality leads.

📞 Discovery Call — 4 Key Questions
Q1

"Walk me through a typical day — where does your time actually go?"

Q2

"What's the one thing that steals the most focus from your actual work?"

Q3

"If you could hand off ONE thing tomorrow — what would it be?"

Q4

"What's stopped you from solving this already? Have you tried hiring support before?"

💜 Golden Rule: Listen 80% of the time. The founder talks themselves into hiring you. Your job is to ask smart questions — not deliver a sales pitch.
👑
